Directions for the Subsidy of Master’s Students Attending International Conferences

Eligibility & Eligible Conferences

Who Can ApplyEligibility

  • Current master’s students enrolled in the IMPLAI Program.
  • Each student may apply once per fiscal year.
  • Each paper, regardless of co-authorship, may be subsidized for only one presenter.
  • If multiple students apply for the same conference, the Program may limit the number of recipients.

*Final approval and subsidy amount depend on the Program Affairs Meeting review.

Eligible ConferencesConference Type

  • Must be an academic international conference.
  • Presentation must be delivered in English.
  • The conference should possess academic credibility and significance.
  • For conferences held in Mainland China:
    • Must be organized by an international organization, or
    • Co-organized by an international organization with local institutions.

*Eligibility of the conference will be verified during the review process.

Step 1 Submission of Participation Intention (Recommended) IMPLAI-S-F1 PDF  |  WORD |  ODT

When: Before submitting a paper or when planning to attend an international conference. Students are encouraged to submit the intention form so the Program can estimate annual funding needs.

  • Submit: IMPLAI-S-F1 Intention Form
  • Provide (optional): conference name, date, location, preliminary paper title, etc.

*This step is optional but recommended for funding management.

Step 2 Formal Subsidy Application IMPLAI-S-F2 PDF  |  WORD |  ODT

When: At least 2 months before the conference date (excluding holidays). Submit all required documents for review at the Program Affairs Meeting.

Required form:

  • IMPLAI-S-F2 Application Form for Subsidy

Required attachments:

  • Official invitation letter or proof of paper acceptance.
  • Abstract and full paper (first-time presentation only).
  • Up to 3 representative academic works.
  • Conference program and related documents.
  • Any additional materials helpful for review.

*The Program Affairs Meeting will decide whether full or partial subsidy is granted.

Step 3 Itinerary Change or Cancellation (If Applicable) IMPLAI-S-F4 PDF  |  WORD |  ODT

When: Within 2 weeks after becoming aware of any itinerary change or cancellation.

Required form:

  • IMPLAI-S-F4 Application for Change of International Conference Travel

Optional attachments:

  • Updated itinerary or revised conference program.
  • Documentation explaining the reason for the change/cancellation.

*All itinerary changes must be reviewed during the Program Affairs Meeting.

Step 4 Post-Conference Report & Reimbursement IMPLAI-S-F3 PDF  |  WORD |  ODT

When: Within 1 month after the conference (and within the same fiscal year).

Required documents:

  • Conference Report (2 hard copies + 1 PDF file).
  • Approved IMPLAI-S-F2 application form (1 original + 1 copy).
  • IMPLAI-S-F3 Reimbursement Form.

Receipts and proof for reimbursement:

  • Airfare: ticket stub or e-ticket, boarding passes, travel agency receipt, and form for use of non-Taiwanese airlines (if applicable).
  • Registration fee: official receipt + foreign currency exchange slip or Bank of Taiwan USD exchange rate (day before departure).
  • Living expenses: currency exchange slip or corresponding exchange rate proof.
  • Photocopy of the conference handbook page listing the student’s name.

*Late submission will be regarded as forfeiture of subsidy.
