Eligibility & Eligible Conferences
Who Can Apply
Eligibility- Current master's students enrolled in the IMPLAI Program.
- Each student may apply once per fiscal year.
- Each paper, regardless of co-authorship, may be subsidized for only one presenter.
- If multiple students apply for the same conference, the Program may limit the total number of recipients.
* Final approval and subsidy amounts are subject to the review and decision of the Program Affairs Meeting.
Eligible Conferences
Conference Type- Must be an academic international conference.
- Oral or poster presentation must be delivered in English.
- The conference must possess recognized academic credibility and significance.
- For conferences held in Mainland China:
- Must be organized by an established international organization, or
- Co-organized by an international organization in partnership with local institutions.
* The eligibility and academic standing of the conference will be verified during the review process.
Application Timeline & Step-by-Step Procedures
Timeline: Before submitting a manuscript or when planning to attend an international conference. Students are strongly encouraged to submit this form in advance to assist the Program in estimating annual subsidy budget allocations.
- Required Form: IMPLAI-S-F1 Participation Intention Form
- Details Provided (Optional): Conference title, dates, host location, tentative paper title, and draft abstract.
* This step is optional but highly recommended for funding coordination.
Timeline: At least 2 months prior to the conference start date (excluding holidays). All application materials must be submitted to the Program Office for review at the Program Affairs Meeting.
- Required Form: IMPLAI-S-F2 Application Form for Subsidy
- Required Attachments:
- Official invitation letter or formal acceptance notice from the conference organizer.
- Abstract and full paper manuscript (for first-time presentations only).
- Up to three representative academic publications or works (if applicable).
- Official conference schedule, program agenda, and related documentation.
- Any supplementary documents advantageous for academic review.
* The Program Affairs Meeting will determine whether full or partial financial subsidy is approved.
Timeline: Within 2 weeks of becoming aware of any unavoidable itinerary modifications, dates adjustment, or trip cancellation.
- Required Form: IMPLAI-S-F4 Application for Change of International Conference Travel
- Supporting Documents: Updated flight schedule, revised conference program, and written statement explaining the reasons for modification or cancellation.
* Any itinerary alteration must receive formal administrative approval from the Program Affairs Meeting.
Timeline: Within 1 month following the conclusion of the conference (and strictly within the same fiscal year).
- Required Documentation:
- Conference Attendance Report (2 hard copies + 1 electronic PDF file).
- Approved IMPLAI-S-F2 Application Form (1 original + 1 photocopy).
- IMPLAI-S-F3 Reimbursement Voucher Form.
- Receipts & Expense Proofs for Verification:
- Airfare: Original flight ticket stubs or e-tickets, boarding passes, travel agency payment receipt, and non-Taiwanese airline approval form (if applicable).
- Registration Fee: Original conference payment receipt accompanied by a foreign currency exchange settlement slip or the Bank of Taiwan USD exchange rate record (the business day prior to departure).
- Living Allowance: Currency exchange settlement slip or corresponding exchange rate proof.
- Program Proof: Photocopy of the conference handbook page explicitly listing the recipient's presentation details and name.
* Failure to submit reimbursement documents within the designated timeframe will be regarded as forfeiture of the approved subsidy.
